How to share your screen in Microsoft Teams

Ctrl+Shift+E

Quick answer: In a Teams meeting, press Ctrl+Shift+E to open the share content tray, then choose your screen or a window to present.

"Can you see my screen?" followed by thirty seconds of clicking is how many meetings start. Opening the share tray from the keyboard gets you presenting straight away and looking composed while you do it.

Hold Ctrl and Shift, then press E.

Step by step

  1. Click once on the Teams meeting window so it's active.
  2. Press Ctrl+Shift+E to open the share content tray.
  3. Choose the screen or window you want to share.
  4. When you've finished, stop sharing from the meeting controls.

Tips & troubleshooting

  • Share a single window rather than your whole screen to avoid showing notifications.
  • Ctrl+Shift+M mutes you, and Ctrl+Shift+K raises your hand.

What you can share

  • Screen: everything on one monitor, including notifications and anything you switch to. Choose it when you need to move between several apps.
  • Window: a single app. People keep seeing only that window even if you open something else, which makes it the safer default.
  • PowerPoint Live: upload or pick a deck and present it inside Teams. You see your notes and the next slide; the audience can't.
  • Whiteboard: a shared canvas everyone can draw on.
  • Include computer sound: switch this on in the share tray before sharing a video, or nobody will hear it.

Before you share

  • Close email, chat and anything confidential. A whole-screen share shows pop-up notifications to everyone.
  • Turn on Do not disturb in Windows, or set your Teams status to Do not disturb, to silence those pop-ups.
  • Have the document or deck already open so you aren't hunting for it in front of the meeting.
  • Zoom in. Text that is comfortable for you is tiny on a laptop at the other end. Ctrl and the Plus key enlarges most apps and web pages.
  • With two monitors, share the one you are not using for your notes.

While you are presenting

A red border surrounds whatever is being shared, and a presenter toolbar sits at the top of the screen; move the pointer to the top edge if it hides. From there you can stop presenting, give control to another participant so they can click and type on your screen, and switch presenter layouts that place your video beside or in front of the content.

If you can't share

  • The Share button is greyed out. You have joined as an attendee, and the organiser has limited who can present. Ask to be made a presenter.
  • People see a black screen. On a Mac, Teams needs Screen Recording permission under System Settings, Privacy & Security. On Windows, a protected app such as some video players can block capture.
  • On a Mac the shortcut is Cmd+Shift+E.

Common questions

If I share a window and switch to another app, what do people see?

They keep seeing the shared window, frozen at its last state if it is covered or minimised. They do not see the other app.

How do I stop sharing quickly?

Click Stop presenting on the toolbar at the top of the screen, or the same button in the meeting controls. Do it as soon as you have finished, before opening anything else.
